This document formalizes the security and use of Booth's information infrastructure and the privacy of Booth email. Please review the University's IT policies.

  • If your office needs an account for temporary workers, please request a staff account for each individual

Expectations Of Privacy

The email lists and associated systems are the property of the University of Chicago and are subject to University policies, including the Eligibility and Acceptable Use Policy (EAUP). Booth enforces the EAUP and manages its systems in accordance with it. The Booth email system is for the non-commercial and educational use of the system's users.

Booth endeavors to maintain a secure and private system. Booth will make reasonable efforts to maintain the integrity and effective operation of its electronic mail systems, but users are advised that those systems should in no way be regarded as a secure medium for the communication of sensitive or confidential information. Because of the nature and technology of electronic communication, the University can assure neither the privacy of an individual user's use of the University's electronic mail resources, nor the confidentiality of particular messages that may be created, transmitted, received, or stored thereby. Users of the system should protect their passwords in order to protect the privacy of their information on Booth systems.

Booth will not monitor electronic mail as a routine matter but it may do so to the extent permitted by law as Booth deems necessary for purposes of maintaining the integrity and effective operation of Booth's electronic mail systems. Booth reserves the right to access any and all files on Booth systems (including mail) if the system administrators perceive that there is a clear and present danger to the integrity of Booth systems or there is a clear believe that the system is being used for "restricted applications" (as defined in the EAUP). When such a case occurs, the Chief Information Officer will notify the Dean's Office of such access.

The Booth privacy policy divides mail into two categories, mail between individuals and mail to centrally maintained lists. Note that mail in either category may fall into an EAUP "restricted application" regardless of the information below:

  • Mail between individuals is presumed to be a private communication and is not read or reviewed by Booth staff
  • Mail to centrally maintained lists is presumed to be directly related to the Booth related interests of those on the list. Since such lists are easy targets for "spamming", each list is controlled by a moderator. The moderator's task is to review each submitted message and determine its appropriateness to the members of the list. The moderator also must act to preserve the value of the list. If members receive too many messages, they will tend to ignore mail from the list. Moderators may set list-specific policies regarding number of messages, content, etc.
